What Actually Happens Between Your Brief and Your Delivery
Most clients who work with We Promote You experience the beginning and end of our process clearly: the initial conversation or quote, and the delivery of finished, branded merchandise that meets their brief. What happens in between — the specification development, artwork management, production oversight, quality checking, and logistics coordination — is largely invisible by design. We manage that complexity so clients do not have to.
But understanding what happens in between is genuinely useful, both for setting accurate expectations and for appreciating why an experienced, established supplier delivers consistently better outcomes. In this article, we walk through our complete process from brief to delivery.

Stage 1: The Brief
Every project begins with a brief — a conversation, a site visit, an email exchange, or a showroom consultation. A good brief is worth more than any product catalogue: it allows us to recommend the right products, identify potential issues before they become problems, and build a quote that actually addresses the client’s real requirements.
The questions we ask: What is the occasion or purpose? Who will be wearing or using the merchandise? What impression does the merchandise need to create? What is the budget? What is the delivery date? And — critically — what has not worked in previous merchandise programs?
Stage 2: Specification and Quote Development
With a clear brief, we develop a full specification for the project — garment types, sizes, materials, decoration methods, quantities — and a corresponding quote. Our quotes are detailed: they show per-unit costs, setup fees, freight, and GST separately. We do not bury costs in rounded totals. For projects with multiple product options, we present them clearly with the trade-offs explained.
Stage 3: Artwork Development and Approval
Artwork is the stage that most often determines whether the finished merchandise meets the client’s brand standards — and the stage that most often goes wrong when managed poorly. We receive brand assets (logos, brand guidelines, Pantone colour references) and translate them into production-ready artwork for the specific decoration method — embroidery digitisation, screen printing separations, sublimation print files.
We provide detailed artwork proofs for client approval before any production begins. Nothing goes to production without written approval of the artwork proof.
Stage 4: Pre-Production Samples
For custom manufacturing projects — high-value or bespoke orders — we commission a pre-production sample for client review before bulk manufacturing begins. This allows any discrepancies between specification and reality to be identified and corrected before they multiply across the entire order. Pre-production sampling adds two to three weeks but is non-negotiable for high-value orders.
Stage 5: Production
Production for locally decorated merchandise typically runs seven to fourteen working days from artwork approval. Our production team handles embroidery, screen printing, sublimation, and digital printing in-house, with direct oversight of quality at every stage of the decoration process.
Stage 6: Quality Inspection
Before any order leaves our facility, it passes through quality inspection — checking decoration accuracy against the approved artwork proof, confirming garment quality, and verifying the complete order is present and correctly labelled. For offshore orders, inspection happens at the factory prior to shipment against the pre-approved sample standard.
Stage 7: Delivery and Follow-Up
Completed orders are delivered to the client’s nominated address or available for collection from our Castle Hill or Blacktown showrooms. For large orders across multiple locations, we coordinate split deliveries. After delivery, we follow up to confirm everything has been received correctly — because we want to know immediately if anything is not right.
